Privacy Policy

1. Introduction

1.1. This is the personal data policy for Sevenoaks Lions Club (referred to in the rest of this document as ‘the Club’). It has been written in order to meet the requirements of the new General Data Protection Regulation (GDPR) which came into force on 25 May 2018.

1.2. This policy outlines how the Club will deal with the personal data it holds. It has been developed following central guidance provided by Lions Club International British Isles MD105.

1.3. This policy will be regularly reviewed and updated as necessary.

 

2. Data Protection Officer

2.1. In order to ensure that the Club effectively deals with the requirements under the new GDPR, the Club has appointed a Data Protection Officer (DPO). Any questions concerning this policy or any personal data held by the Club can be emailed to the DPO via the Club email address (sevenoakslions@yahoo.com).

 

3. Privacy principles

3.1. The Club adheres to the data protection principles within the GDPR concerning how the Club manages personal data.

3.2. Therefore, the Club makes efforts to ensure that any personal data is:

  • processed lawfully, fairly and in a transparent manner in relation to the data subject;
  • collected for specific, explicit and legitimate purposes and not further processed in a way incompatible with those purposes;
  • adequate, relevant and limited to those which are necessary in relation to the purposes for which they are processed;
  • not be held any longer than necessary;
  • accurate and, where necessary, kept up to date;
  • kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data needs to be processed;
  • processed in a manner that ensures appropriate security of the personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures

4.1. The Club full recognises the rights individuals have concerning their personal data. These rights are summarised as:

  • Right to appropriate decision making

4.2. Further information concerning these rights and/or the process for instigating them can be obtained from the Club’s DPO.

 

5. Personal data held

5.1. The DPO is currently conducting an ‘Information Audit’ in order to clarify where personal data is held so that the appropriate action can be undertaken in order to make sure that the Club continues to manage the data in accordance with the GDPR.

5.2. The most recent results of the information audit appear in the accompanying annex along with actions to be taken.
